Privacy Policy

V-SHIP LLC ("V-Ship", "we") provides maritime freight, port, warehousing, inland transport, wholesale trade and consulting services. Shipping documents travel between many parties and countries, so this policy explains where personal data goes and why, under the Law of Ukraine "On Personal Data Protection" and the GDPR.

1. Controller

2. Data in shipping documents

Bills of lading, manifests, packing lists and customs declarations contain names, addresses and contacts of shippers, consignees and notify parties, which are often individuals or representatives of companies. We process this data to book space, prepare documents and deliver cargo.

3. International transfers

Shipping data is necessarily transferred to shipping lines, port authorities, agents and customs authorities at the ports of loading, transshipment and discharge, which may be in the EU, Türkiye, the Middle East, Asia or elsewhere. Transfers are limited to what is needed to perform the transport contract and to meet customs and security rules, such as advance cargo information requirements.

4. Port and warehouse access

Truck drivers and visitors to our warehouse are registered with name, vehicle number and time of entry. Warehouse and yard are monitored by CCTV to protect stored cargo. Recordings are kept for 30 days.

5. Warehouse records

Intake photographs show cargo and packaging only. Stock records identify the owner of goods and authorised persons who may release them.

6. Trade and consulting clients

We process business contacts, orders, contracts and supplier check results, which may include public information about company directors and owners.

7. Purposes and grounds

Performance of contracts, legal obligations (customs, port security, sanctions screening, tax), and legitimate interests (cargo security, claims handling).

8. Recipients

Shipping lines, port operators, ship agents, surveyors, carriers, customs brokers and authorities, insurers, banks for letters of credit. We do not sell personal data.

9. Retention

Shipping and customs documents: as required by customs law, at least 3 years.
Cargo claims files: until the claim is closed plus the limitation period.
Access logs and CCTV: 30 days.
Quote requests: 12 months.

10. Your rights

You may access, correct and delete your data (subject to legal retention), restrict or object to processing, obtain a portable copy and withdraw consent. We reply within 30 days. Complaints may be addressed to the Ukrainian Parliament Commissioner for Human Rights or an EU supervisory authority.
